1. Who we are
Benefitra is an independent benefits brokerage, SaaS platform, and marketing arm operating in the United States. This Privacy Policy describes how Benefitra ("we," "us," or "our") collects, uses, and discloses information when you use our website at benefitra.com, our calculators and tools, and our related services (collectively, the "Services").
Our principal contact for privacy matters is [email protected].
2. Information we collect
Information you provide directly
- Contact information: name, email address, company name, job title, phone number — when you fill out a form, request a quote, schedule a call, or sign up for our platform.
- Business information: employee count, industry, ZIP code, current benefits arrangement, and similar details — when you use our calculators (EMR Roofing, Premium Renewal Stress Test, Benefits ROI, Health Funding Projector, etc.) to estimate costs.
- Communications: messages, feedback, support inquiries, and any other content you send us.
Information collected automatically
- Usage data: pages viewed, links clicked, calculator inputs and results, time on page, referring site, and similar interaction data.
- Device and browser data: IP address, user agent, browser type, operating system, screen resolution, and language.
- Cookies and similar technologies: see Section 6.
Information from third parties
We may receive information about you from publicly available sources, business partners (such as carrier networks or referral partners), and analytics providers. We use this only in connection with our existing services.
3. How we use your information
We use your information to:
- Provide, operate, and improve the Services, including running the calculators and personalizing the content shown to you.
- Respond to your inquiries, schedule calls, and provide quotes.
- Send you transactional and service-related communications.
- Send marketing communications (you can opt out at any time — see Section 8).
- Analyze usage trends to improve our website, content, and tools.
- Comply with legal obligations and enforce our terms.
- Detect and prevent fraud, abuse, and security incidents.
4. How we share your information
We do not sell your personal information. We share information only in these limited circumstances:
- With service providers: hosting, analytics, email delivery, customer support, and similar vendors that process data on our behalf under contractual confidentiality obligations.
- With insurance carriers and benefits providers: when you request a quote, enroll in a plan, or ask us to introduce you to a carrier.
- For legal reasons: when required by law, court order, or government request, or to protect rights, safety, or property.
- In a business transaction: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
- With your consent: when you explicitly authorize us to share information with a specific third party.
5. Third-party services
We use third-party services to operate our website and Services, including:
- Analytics: Google Analytics or similar, to understand how visitors use the site.
- Hosting and infrastructure: for website delivery, calculator computation, and data storage.
- Communication: email delivery providers, scheduling tools.
- Marketing: social media platforms (LinkedIn, Facebook, Instagram, X) for advertising, attribution, and audience-building, in accordance with their respective privacy policies.
These third parties have their own privacy policies, and we are not responsible for their practices. We encourage you to review them.
6. Cookies and tracking
We use cookies and similar technologies to run benefitra.com, to understand how it is used, and to measure our advertising. We ask for your consent before any non-essential cookie or tracking script runs.
What loads only after you opt in. Analytics (Google Analytics 4 and our self-hosted Matomo) and Marketing (Google Ads measurement and a first-party click cookie named bf_attr) are switched off by default. They run only if you turn them on in our cookie banner. We use Google Consent Mode, which keeps Google tags in a denied state until you choose to allow them.
What is always on. A small number of necessary cookies keep the site working and remember the privacy choice you made, so we do not ask you again on every page. These cannot be switched off.
Your control. You can change or withdraw your consent at any time by clicking "Cookie settings" at the bottom left of any page. Turning a category off stops the related scripts and clears the related cookies going forward. Full details of each cookie, what it does, and how long it lasts are in our Cookie Policy.
What we record about your choice. When you make a cookie choice, we keep a short record so we can show we honored your consent: a random identifier for the choice, the date and time, which categories you allowed, the policy version, and your browser's user agent. We do not store your IP address with this record.
Analytics data. When you allow Analytics, the data we see is aggregated and is used to improve the site. Matomo is hosted on our own server. Google Analytics is provided by Google; see Google's own privacy documentation for how it processes data.
Marketing data. When you allow Marketing, the bf_attr cookie stores the Google click identifier and campaign tags from the link you arrived on so we can connect a later enquiry to the ad that brought you here. It contains no name or email.
7. Email analytics and tracking
We use analytics in some of our outbound emails to measure delivery and engagement so we can communicate better and send fewer, more relevant messages. This applies to certain emails we send you and to the hosted "view online" version of an email when you open it in your browser.
What we collect
- Open events: whether and when an email was opened.
- Link clicks: which links in an email you clicked.
- Delivery and bounce status: whether an email was delivered, bounced, or could not be reached.
- Engagement on the view-online page: approximate engagement (such as time on page and which sections you viewed) when you open the hosted "view online" version of an email.
- Technical data at the time of interaction: IP address and user agent (browser and device information) captured when you open an email or interact with the view-online page.
How to opt out
You can stop this tracking at any time. Either option works:
- Reply STOP-TRACKING to any email you receive from us, or
- Click the unsubscribe link in the email footer.
Once you opt out, we stop applying analytics to future emails we send you.
How we use it
We do not sell this data. We use it only to measure how our communications perform and to improve what we send and how often we send it.
8. Your rights (CCPA & GDPR)
Depending on where you live, you may have rights regarding your personal information. We honor these rights for all users regardless of jurisdiction:
- Right to access: request a copy of the personal information we hold about you.
- Right to correct: ask us to fix inaccurate or incomplete information.
- Right to delete: ask us to delete your personal information, subject to legal retention requirements.
- Right to opt out: stop marketing communications by clicking "unsubscribe" in any email, or by emailing us.
- Right to portability: request your information in a portable format.
- Right to non-discrimination: we will not retaliate against you for exercising any of these rights.
To exercise any of these rights, email [email protected]. We will respond within 30 days (or as required by law).
9. Data security
We use industry-standard technical and organizational measures to protect your information, including encryption in transit (TLS), access controls, and regular security reviews. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.
10. Data retention
We retain your information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. When we no longer need your information, we securely delete or anonymize it.
11. Children's privacy
Our Services are intended for business users and are not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new "Last updated" date. Material changes will be communicated through the website or by email where appropriate. Your continued use of the Services after a change constitutes acceptance of the updated policy.
